Guest List Management

The guest list planner keeps everyone in one place: who you're inviting, how likely they are to come, and whether you have room for them.

Accessing the Guest List

  • Go to Dashboard > Events

  • Open your event

  • Select the Guests tab
  • Households, not individuals

    Mimentum organizes guests into households. A household is invited as one unit — one link, one RSVP. "The Garcia Family" is one household with four members; "Aunt May" is a household with one.

    This matters because it matches how you actually invite people, and it keeps your headcount honest: a household of four is four seats even if only one person replies.

    Add a Household

  • Click Add household

  • Enter the household name (e.g. "The Garcia Family")

  • Add members — each member can have:

  • - Name
    - Email (optional)
    - Phone (optional)
    - Dietary needs (optional)
    - Age band: Adult, Child, or Infant
  • Mark one member as the primary contact

  • Optionally set side, tier, plus-ones, address and notes

  • Click Save
  • A household needs at least one member.

    Import a List

    Paste a list or upload a CSV:

  • Click Import

  • Paste your list, or upload a CSV/TSV file

  • Review the preview

  • Click Import
  • Format: Name, email, count — email and count are optional.

    Each row becomes one household. A header row containing "name" or "email" is detected automatically, so an exported spreadsheet usually works as-is. Duplicates (by name or email) are skipped. Up to 1,000 rows per import.

    AI Assist

    Turn messy notes into households:

  • Click AI assist

  • Add from text — paste a text thread, a rough list, or just type it out. The AI extracts households and counts

  • Find duplicates — the AI flags likely duplicates across your list
  • You review everything before it's saved.

    Share to Add

    Let family suggest guests without giving them access to your account:

  • Click Share to add

  • Create a share link

  • Send it to family
  • Suggestions land in your list as Undecided for you to review. You can revoke the link at any time.

    Tiers

    Every household gets a priority tier:

    Tiers are what make the cut-line work: set a capacity target and Mimentum shows you which tiers fit and where you go over.

    Tier Advisor

    Not sure where someone belongs? Click Help me decide on a household. A few quick questions produce a suggested tier — you decide whether to apply it. You can describe the relationship in your own words and the AI factors it in.

    Calibrate the advisor to teach it your own priorities, so its suggestions match how you actually think about your list.

    Sides

    Mark whose guest a household is:

  • Shared

  • Side A (renamed to your host names)

  • Side B
  • The side balance view shows whether one side is running away with the list.

    Plus-Ones

    Add plus-ones at household level, with an optional breakdown of how many are children and how many are infants. They count toward your headcount.

    The planner has four views:

    Triage Mode

    Triage walks you through undecided households one at a time. Three tasks:

  • Sort into tiers — press 1–4 or click

  • Estimate turnout — how far do they travel, will they come?

  • Whose guest? — drag onto a host or press 1, 2 or 3
  • Skip anything you're unsure about and come back to it; skipped households are collected for a second pass.

    The cockpit sits above your list and shows:

  • Total people across households

  • Tier bars with your cut-line

  • Whether your tiers fit your capacity target, and by how much you're over

  • Confirmed count vs. planned

  • Cumulative cost as you work down the tiers
  • Set a capacity target to turn this on.

    Status Types

    Updating Status

    From a household's actions menu:

  • Mark as invited / Mark as not invited

  • Mark as reminded

  • Copy invite link
  • Select multiple households with the checkboxes to set tier or side in bulk.

    Needs Attention

    The planner surfaces what's outstanding: how many to invite, how many awaiting a reply, and how many declined.

    Merge Households

    If the same family ended up on your list twice:

  • Select the households

  • Click Merge

  • Pick which one to keep — the others' members and plus-ones move into it
  • Separate a Household

    If you grouped people who should be invited separately:

  • Open the household's actions

  • Click Separate into a new household

  • Choose who to split out
  • To send, link the household to an invitation. Each household gets its own invite link — copy it from the actions menu, or send it by email from the invitation.

    If a household has no invitation link yet, add it to an invitation first.

    Initial Setup

  • Dump everything in first — use import or AI assist, don't hand-type

  • Set a capacity target before you sort

  • Run Triage to clear the Undecided pile

  • Sort tiers before you send anything
  • Ongoing Management

  • Keep households as one unit — resist splitting them "just for the email"

  • Use Mark as reminded so you know who you've chased

  • Check side balance early, while it's still fixable

  • Watch the cut-line as RSVPs come in — declines free up seats
  • Before the Event

  • Confirm the attending count in Stats

  • Check dietary needs across all members

  • Verify addresses if you're sending anything physical
